Email

Email is an abbreviation of electronic mail, it is a way of instantaneously sending a message or a memo or a letter to somebody rather than sending a letter which could take a few days to arrive.

The audience of which an email is targeted at can be anyone. It is likely businesses will email customers with promotional campaigns and offers coming up, it is also a way of sending the customers order information and delivery dates/times. Businesses will also be more than likely to email their employees with the latest news from within the business; it is also a good way for different departments to discuss matters, i.e. The marketing department talking to the finance department for additional funding for a promotional campaign.

A business would use this to inform their customers of any promotional campaigns and offers coming up, the reasons in which they do this is as it is an instant way of sending a message and customers will be able to gain much further information on the offers online on the internet.

Video Conferencing

Is a way of being able to talk to somebody and being able to see them when they are potentially thousands of miles away.

The audience of which video conferencing can be appropriate are board meeting between directors of the company located in different countries.

Video conferencing will be used to interview somebody applying for a job abroad, it will save the business money on having to fly someone over for interview and it will be appropriate for both parties to video conference.

Fax

Fax is a piece of equipment that allows a person to send and receive printed materials over telephone lines.

Used as a reference for employers and their employees.

This is used by businesses to gain references, they use this as it is an instant message and it come directly out in paper form so businesses can put it straight into their records.

Scanners

These can be used to convert text documents, photos and other paper based files/documents into a digital file for use on a computer.

To attach a document into an email. Or to photocopy and keep a record of legal documents.

This will be used to back up legal documents and allows the business to keep a digital record of the file.

Websites

Websites is a collection of files that are arranged on the World Wide Web under a common address and allows retrieval via a browser.

Used by companies to research and gain additional information into other companies.

This will be used to research for the company and will more than likely be used to save time and money for the business.

SMS text messaging

Short message service, a way of sending short messages up to 160 characters to somebody instantaneously via mobile phone.

Can be used to send a quick note such as to inform somebody that they are running late.

This could be used to text somebody at the office to inform them that they are running late to work in the morning and that they will be in within the next ½ hour

Telephone

A telephone is a device that converts your speech into an analogue signal suitable for transmission over a phone line.

To inform somebody of an important decision or some important information.

An important decision the business may need to use the telephone for is to inform the manager at the company that there is a problem with finances.

A letter is a written message sent to someone via the postal service, you will have to pay an amount of money and it ranges how long it will take to arrive by the amount of money you pay.

This could be to inform your customers of any changes that are likely to occur and any new products/services being offered.

This can be used by a business to confirm an interview and then the outcome of the interview for any applicants.

Report

A report is a formal document explaining some information, possibly trying to advise somebody of their decision.

Shareholders/stakeholder, you can inform them of the status of current finances including graphs and charts.

Can be used to show the shareholders and the stakeholders of the business how well the companies’ finances are doing as to get them to invest more into the business.

Invoice

An invoice is a legal debt instrument which indicates the amount due from a customer to pay for delivered goods or services. Invoices may be traded or sold

To inform customers of what they owe to the business and when it should be paid by.

Invoice is sent out to the customer as to inform them how much they owe a business after purchasing goods and will be sent to the business after they purchase goods from somebody

Flow Chart

A flowchart is a graphic presentation using symbols to show the step-by-step sequence of operations, activities, or procedures.

Depending on the context of it the flow chart would interest anybody. It’s a way of explaining something to someone by a step to step basis. Almost like instructions on how to do something.

Will be used by a business to tell somebody instructions on how to do something, this could be a flowchart on telephone sales person and directing them through a persons responses.

Memorandum

A memorandum or memo is a written form of communication most often employed in business environments. A memorandum is typically written using the following structure: FROM: TO: DATE: the date of when the memorandum is being distributed SUBJECT:(eg: a certain media or governmental problem)

It’s an informal way of sending information internally within a business.

Will be used by a business to send a note or report internally within a business.
