Success in terms of Objectives and End User Requests
- The template documents must be able to accessed from the homepage within 3x clicks of mouse
This objective was successful. Both the letter and payment reminder template can be accessed within 3 clicks of mouse.
- Templates for letters and payment reminders will be created and accessible on the homepage. The documents will have a similar professional look.
This objective was quite successful because I put the letter template and the payment reminder template as a drop down menu on the homepage. Therefore, the templates will be accessible on the homepage. Whilst I was making the payment reminder I forgot to save it as a template and I saved it as a word document. I however realized my mistake and went back and changed it to a template.
- Automated tools like macros and fill-in fields in the payment reminder will allow data to be put in the correct place easily.
This objective was very successful. All data was entered into the correct place and all the end user had to do was type in the data.
- The payment reminder should be easy to personalise with the ability to enter specific details in specific places by having the same layout as the payment reminder template but with different information.
I think this objective was very successful because the prompts clearly indicate what is required in the fields:
- All documents must contain the club logo/house style and the date should be updated automatically.
This objective was also very successful because the Extreme Sports Club logo was on every document and the date was updated automatically. For the letter template I forgot to click the box that says “update automatically. But I realized and it and went back to change it.

Payment Reminder
- The payment reminder should calculate itself automatically and place information in the correct places.
I think this objective was successful because all the information was in the right places. I know that because I checked my final design. And it calculated itself when I put the formulae in.
- Data entry should be made so simple that the letters are 100% accurate.
I completed this objective very well because all data entry was made simple and accurate and because of that the letters and payment reminders were 100% accurate.
- It should take less than 2 minutes to generate a payment reminder
I completed this objective very well because when the payment reminder was tested it managed to generate itself in less than one minute. No print screens are appropriate for this objective.
- The system must be robust and easy to use for anyone with basic computer skills.

- I completed this objective very well because the table was viewed very clearly and it was embedded into the invoice document template.

Ideas for Improvements based on your own views
- I could have added more colour to my homepage. If I added more colours to the documents it would have made the documents look more eye-catching and attractive.
- I could have added more pictures to take up empty space
Ideas for Improvements based on End User feedback
Homepage
- It was suggested by the end user that I could decrease the size of the font because it looks too bold and large
- It was also suggested by the end user that I could make the picture of the manager bigger so it can take up more space because there were huge gaps.
- The end user also proposed that I should make the text more aligned with the other side.
Letter
- The end user suggested that I should use a more formal font to make it look like professional letter.
Payment Reminder
-
The end user also suggested that for the address fill-in field I should add more detail to it. For e.g. Town, county and Berkshire.
- The end user proposed that when using “Yours Sincerely”, the fist letter in the word sincerely shouldn’t have a capital letter at the beginning.
- Finally, the end user suggested that I should include way in which fees can be paid in the payment reminder. For e.g. by cheque, credit card or cash.
The Needs of the End User
- 15 manuals (for the end user and other staff) on how to install the system, backup on the system, macro security settings and how to use the template system
- A demonstration CD will be sent to his office for staff and if the end user requires more he can order them from www.Extreme_Sports_Club_system.com or he/she can purchase them by phone
