- PROBLEMS WITH THE CURRENT SYSTEM
These are some of the problems of the business’ current system.
- They sometimes lose the books they use with a lot of important information on customers.
- Customers complain about wrong prices whether it’s more money charged than what was said or they did not get the correct change
- They sometimes forget about their appointments
- OBJECTIVES OF THE NEW SYSTEM
These are some of the objectives of the new system
- The new system should be to print out any appointments they have
- The new system should be able to keep a steady record of prices of a certain treatment
- The new system should be able to print out receipts for a customer and an extra one for the business
- The new system be able to link one file, customer file, to another file, appointment file
- The new system should also be able to show their income at the end of the day and print them and it should also be able to print a graph for the income at the end of the month.
6. DESCRIPTIONS AND EVALUATION OF THE CURRENT SYSTEM
The current system is all-round manual. Each day they make sure that the customers were charged according to the prices. Taking all the receipts that have the amount of money and checking them with the finance book do this. Everyday, they write in the customers file the names of all new customers they have. There are some advantages to this system.
- Miss Michaels is able to check for unpaid debts of her customers and phone them immediately.
- She is able to check whether all her finances have been paid and also check whether the stock she has ordered has been delivered to the salon
There are also some disadvantages
- Doing all the checking everyday wastes a lot of time than using a computer.
- Using a computerized system is at least more accurate than using the manual way
7. CONSTRAINTS AND LIMITATIONS
SYSTEM BOUNDARIES
The new system to be developed is a system that covers everything in the business, including its finance, customers, appointments and others. Everything from the old system is going to be transferred to the new system. If this system works without fail, it is possible, in the near future, to update everything that has been stored in the computer system. Also in the new system, information will be typed directly into the computer and all kinds of calculations will be done on the computer as well.
SOFTWARE
After I described all kinds of software to Miss Michaels, she decided to use Microsoft Access 2000 in the new system. She said that she would also like to use Microsoft word and Excel 2000.
HARDWARE
Miss Michaels said she would like to buy a computer that is Window ’00. She would be using an inkjet printer, which is pretty fast, to print out what she needs. Miss Michaels would like to buy an Intel Inside Pentium 11. I advise her to do so because this kind of computer is quite fast when using.
USER LEVEL OF INFORMATION TECHNOLOGY SKILLS
Miss Michaels has gone to a computer college, and therefore she is very familiar with the layout of the keyboard. She would have no trouble with the new system. She also learnt a little about some of the hardware on computers and therefore she would have no problem in using Microsoft Access.
8. CONSIDERATION OF POSSIBLE SOLUTIONS
Miss Michaels has requested to use Microsoft Access; therefore a database package would be needed for this. She will be using the most commonly used programming languages rather than any old or confusing one. Microsoft Access has all the requirements that are needed in the formation of the new system.
