Outlooks Express enables us to read and send emails organise important work schedule appointments and store personal information all from one place. With new features such as a junk email filter and navigation pane, Outlook 2003 helps you to save time, work faster and stay in control.
A hard drive has several mechanisms that make the technology of reading and the transfer of data from the platters possible. A hard drive works on the same principals as a floppy disk drive. A magnet can polarise parts of a disk to represent data and later read them and translate the data back. The big difference with hard drives is that a disk has one disk to read and write to. A hard disk can have several. Also as the names hard disc and floppy disc suggest, the hard drive disks are made out of higher quality materials so they can be read/written to more frequently. It is these factors that allow some hard disks to hold several of information, as opposed to a floppy's (approximately) 1 .
Ram (random access memory) is the memory your computer uses to store information.
RAM chips store information electronically, so it's must faster for the computer to put information into RAM memory than to write it to disk. Hence, the more RAM you have in your computer, the faster it tends to run.
One thing to keep in mind though. RAM memory is for temporary storage of info. Once you turn your computer off (or reboot it) the information contained in those chips is lost.
Communication
Stage 1 Today communication is part of everybody’s life. They could make a quick phone call or write a quick e-mail and never stop to think twice and ask them self, “What if it wasn’t this easy to communicate?
Rapidly over the past few years’ communication has developed from letters to telephone and verbal conversations to e-mail using Outlook Express to send and receive the emails. There are several ways a company can communicate with its clients, they can send e-mails to ask them if they are looking for a new job, or even fax them important information about the job they want. Outlook Express is a package that allows you to create and send e-mails with attachments. Outlook can be used to send an email to many companies at the same time.
Modems are devices for transmitting usually digital data over telephone wires by modulating the data into an audio signal to send it and demodulating an audio signal into data to receive it. Theirs is slow at 56k. A modem at the client’s office converts the signal back again so that the client can read it. Alternatively they phone the client. This gives them an opportunity to get acquainted with the client.
Information
Stage1 info use Datasite database to access client tel. no and e-mail address. The database also contains details of the number of PC’s or main frame computers and what type of operating system they have. This will tell the salesman if the company is likely to be large enough to do large projects and hence are worth contacting. They will find out what skills the programmer needs, if they have a requirement.
Stage two is where they interrogate the CARDBOX database to find suitable people, once a requirement has been found. They interrogate it to match on operating system, location, availability and other skills. Changes on address, or availability are updated and re saved back to the hard drive. DCDP use the hard drive instead of the CD for saving details of contractors, as they need changing many times each week. When they find a suitable match, they look up the CV on WORD. This may be printed off at this stage or E-Mailed directly to the client. They use a Hewlett Packard laser jet 1200. Any new CV’s that arrive as a hard copy need to be scanned in using Textbridge scanner package. The company has a letter heading, which it is produced in WORD, and this is attached at the time of printing or transmission to the letters or CV’s. It also makes up a large part of the FAX Header.
Functional
They use a combined Brother Scanner, printer, fax photocopier. The scanner works the same as a photocopier. Light is reflected from the black and white spaces on the sheet. They compare this image with designs of font stored within the textbridge package. If they recognise the letters, then they store them. The final document has a spell checker applied and the results are usually good. This is better than employing a secretary to re type any hard copy CV. An excellent way of getting paper resources into electronic formats for DCDP.
HP LaserJet 1200. This is a monochrome laser printer. The quality is excellent and more than helpful for the CV’s and letters. This works on a base similar to a photocopier. The image is drawn onto the rotating drum and as it passes through magnetised ink, it collects the ink in the form of the image. As it turns round again, it transfers this image to the whole sheet. As it rotates further the ink is heated and dried. This gives excellent quality and is why the printout is always hot. If they enclose a flyer for the business then these are printed off in colour as required, on the Epson Photo stylus printer.
Communication
E-mail CV contractors to the clients, or fax them or post them. Outlook Express is a package that allows you to create and send E-MAILS with attachments. Could send it to many companies at the same. The signal is taken from the PC and converted to a signal that can travel down a phone line. This is done by a modem. Theirs is slow at 56K. A modem at the client’s office converts the signal back again so that the client can read it.
Information
Stage 2 CV’s usually obtain names, addresses, age, work experience and packages used, plus list from notes beginning operating system etc.
Stage3
Functional
DCDP would need Windows, Operating system on their computers because it makes the hardware and software easy to communicate to work with. Currently changing over from Windows 98 to windows 2000 (a newer version of windows). Allowing us to operate the computer with less trouble. Windows cannot work without an Operating System. Office 2000 is a newer version of windows 2000, we use WORD most of the time to type up memos, or emails or just to print out CV’s/important documents. We use EXCELL for our records of figures (an accountant would be one career were excell would be used daily). Datasite is a database that stores contact details of all clients. Macafee Virus, this prevents a virus from entering the system and losing loads of important and vital documents, particularly as virus’s can enter through the Internet or even email. A modern is a way of connecting to the Internet to send and receive information via the phone-line.

Sending the CV’s through e-mail or fax. The CV’s, that are in WORD are attached to an e-mail and the send by Outlook Express. The signal is translated from one a computer can be understood, to one that can travel down a phone line. This is done by the MODEM. The document is sent by normal phone line and received by a modem at the clients office. His MODEM re converts the signal back to the digital form for his PC to understand.
Contracts are drawn up and these must be posted to form legal documents.
Function
DCDP would benefit from having satellite navigation as it is a quality piece of technology that provides precise time and location anywhere, anytime and under any atmospheric conditions, by using the NAVSTAR satellites.
Now they are an essential part of the daily lives of businesswomen and men. We see and recognise their use in weather reports, television transmission by DirecTV and the DISH Network, and everyday calls. In many other instances, satellites play a big background role for DCDP.
Information
Maps are fully scalable from the level of a continent, country, region, even a user-defined area or down to almost pinpoint accuracy (30ft) at street or even building level if necessary!
As well as locating vehicles either individually or collectively additional information can be provided alongside maps. Post Codes and Street Addresses can be provided for the whole of the UK and Europe. Maps can even be set to show DCDP and its clients locations, jobs, special landmarks and even buildings if required.
satellite navigation systems use time signals transmitted by to enable mobile receivers on the ground to determine their exact location. The relatively clear line of sight between the satellites and receivers on the ground, combined with ever-improving electronics, allows satellite navigation systems to measure location to accuracies on the order of a few in real time. The satellites know exactly where they are in the sky in relation to the ground. If you have a receiver that can read the position of at least three satellites, then you can work out where precisely on the earth you are.
Communication
The satellites broadcast signals that contain time and identifier codes. Once the user's position has been determined satellite receivers use an antenna to acquire these signals from multiple satellites to determine a person's position, altitude, speed and direction of travel. These satellites are now being used by the public and can be used as online map plotting tracking in your vehicle as well are used as mobile vehicle locators in surveillance work. A decoder converts the data received into an address. For some the most valuable part of the system is the route-planning tool. Coming as standard it is possible within just a few seconds to check on the exact distance and time it should take to complete a particular route. It can be an advantage for DCDP as all of the information recorded by the vehicles as they go about the business can be used to provide over time and unlimited routes database. This tool has proven to be more effective for some than existing and very expensive dedicated systems.
