How and why organisations use ICT

Northampton Academy is a school which accepts students from 11-18 years of age, therefore they need to keep a track on absences, timetables, contact details, etc. ICT is used in most aspects of the school which enables them to do things a lot quicker than being done by hand.

Information needs

The academy needs to be able to: send newsletters and letters to parents and students with information they may require, update the pupil database so that their information can be accessed easily, keep records or pupils attendance and absences so that reports can be sent to parents and the County Council, communicate with other organisations such as suppliers, builders and any other company which the academy may need to contact, keep financial records of what is being spent and where the budget is more important to be going to, receive and send information to exam boards for GCSE results and other exam information and finally keep details of students exam entries so that they are entered for the right exams.

How ICT is used in the academy

Ict is used throughout the school and in many aspects such as, registers which inform the school of absences, attendance and attendance percentages. Pupil database which takes up less storage space, quick and easy to search and to find contact details the only disadvantage is the fact that staff would need training to be able to use it. Spreadsheets are used to keep a track of school finance details, quicker to use because formulae means that if a figure needs to be changed then the software will automatically recalculate it for you

Registers

Registers are taken in each lesson and then taken down to the reception. They are then fed through a machine where optical mark recognition is used. This saves a lot of time to see which pupils are absent and the ones that aren’t. It is a lot more useful as it is easier to find information on certain students and so an average can be done altogether throughout the year on individual pupils. It is also a lot quicker this way as it only takes roughly 1 minute for the machine to do this otherwise it would take a person much longer if this was done by hand. Also they have to be sent to the County Council so they will look more professional when done by a computer.  As well as this reports have to be sent to parents so they need to be accurate so they have not been marked absent.

Why?

This method is more efficient than being done by hand. It is a lot easier to access information on the pupils. It also helps with the absence lists which can be printed out then given to teachers to check if the absences of the class are correct.

Student details

Students’ details are entered into a computer and then saved. It is then easier to find out pupil information when a contact name, number or address is needed.  It is more efficient this way as files are generally not lost and are easier to access. It also stores doctors’ ...
