An I.T. System for an Estate Agent

The aim for this coursework is to design a new system for an estate agent called Claytons. The database will be designed to hold information about the properties such as number of bedrooms, garden size and price. Currently the company is using a filing cabinet to keep the current data, this takes up a lot of space and it is hard for the workers to access or alter the information. I will need to design a solution for this problem, my system has to be fast and easy to use, and the information should be clear and easy to change. I will need to find out how the staff are currently using their system and I will need to see if the new one will be easier and faster. The company currently files away all of its documents in a cabinet which contain all the information about the houses that are for sale or rent. They're all organised by the area that they are in. If any customer asks about buying a house but doesn't specify the area but also asks for something else, all the files have to be studied to find a house meeting the information asked. If information about the area is given then it is a bit easier because only houses in that area have to be searched. Searching for the right houses can take hours because a lot of files have to be searched. The Data Protection Act, 1998 The 'right to privacy' is a right we all expect. We do not expect personal details such as our age, medical records, personal family details and, political and religious beliefs to be freely available to everybody. With the growth of information and communication technology, large databases are able to hold huge quantities of information and global networks are able to share and distribute this information around the world in seconds. To protect people and their personal information, the Data Protection Act was formed. The first Act was made law in 1984 but was replaced by a new Act in 1998 to include the European Union law. Introduction This project will be about creating a database for a fictional video shop. I will have the aim to help the staff of this business by creating a database of videos/DVD's using current information from local Video stores, leaflets, newspapers and the internet. The database will help me to find out current information on which video or DVD has which features. The database will function as the basis of finding Videos and DVDs that are currently available in the store. Such a database is much more convenient, than one that is based on paper, since it is much quicker and is less susceptible to human error than a database that is based on paper. If the staff of the video shop did not have a database, severe problems would occur as the staff does not know which films are currently in stock and it is very likely that the needs of customers are not satisfied in time. E.g. a customer requests a movie for her son, but because the staff has not got the information where the video is and which videos are suitable it takes the member of staff about five minutes which results in the customer leaving without purchasing a movie. Firstly, the modelling agency advertises in the yellow pages. The potential models then ring up and arrange an interview. The interview is arranged and completed and then the model pays a fee for a photo shoot ( £200) the modelling agency then records all of the models details (name, age, height, weight, hair colour, eye colour, nationality and address manually using paper and pen to create a seperate record for each model) and then the model's file is stored in a filing cabinet. The model's details are stored in the cabinet until a client requests a model that matches with a specific set of attributes. The secretary then searches for the models that have the right attributes and makes a list. When the list has been created, the secretary phones up the client with the various models and an agreement is reached over the model(s) that are most appropriate for the shoot. These model(s) are then sent a letter to them by post with details of the location time and date stated. The letter is made using an electric typewriter.
