I have to create a detailed report which will include my findings, recommendations regarding perfume and aftershave, and observation and recommendations about the rest of the products.

The book-keeper worked part-time in the shop, kept accounts, sales figures and all turnover details manually. This problem was discovered recently about the product and the manager was concerned about it.

The current system was manual, there was high chance of human error, takes a long time to analyse data. This was done by reading and looking at balance sheets which the book keeper prepared. It was a very long process for the manager to analyse all the data.

The current system is relied on the operator to proof read and check visually, whereas a computerised system can build in accuracy checks to reduce risk of errors.

Sub-Tasks

• I have to create a detailed report which will include my findings, recommendations regarding perfume and aftershave, and observation and recommendations about the rest of the products.

• All the data I will receive will be presented in graphs and charts detailing monthly sales, individual sales of each product and show the turnover and percentage of each products turnover compared to other products.

• I will produce a user’s manual as the stores manager and staffs knowledge of computers is minimal.

• I will be trying to make the system I am designing as user friendly as possible; I will record two macros for this. One macro is to print management report and the other one is to print charts and graphs I prepared.

• I will explain the implementation as much as possible. I will do this by showing the steps of creating two different types of charts.

• The objectives will be explained and the system will be evaluated.

• I will prepare a test plan, test the system and implemented and results shown. The test will include formulas and how they affect the charts and graphs.

Potential Users

Although the manager of the store does all the money work and accounting work, these jobs can also be asked to be done by the assistant manager.

Basically this means that the manager and the assistant manager will be the end-users. The new system is going to totally help them and is going to be easier for the managers to record payments and receipt as well as keep accounts. This new system will help avoid errors in calculations and it will be easier to use and less time consuming.

Processing required

There are 2 different types of processing systems. These are batch processing and interactive real time processing.

The type of processing I will be using is the interactive real time processing. In this processing the data is processed as soon as it is collected whereas if I was using batch processing it would take a day or even up to a week to collect all the data and then process it.
