Method of Communicating through Business

There are many different ways of communicating through business using ICT and I am going to research and show you the advantages and disadvantages of using some of these methods.

Email

Electronic mail or email is a means of sending messages, text, and computer files between computers via the telephone network. Because the telephone network covers the whole world, email enables you to communicate world wide.

Features of email are:

  • Sending email to more than one person at once by using:
  • Cc (Carbon Copy) is indicating secondary recipients of a message: those who are to receive a copy of a message directed to another.
  • Bcc (blind carbon copy) is a copy of an email message sent to a recipient whose email address does not appear in the message.
  • Sending an attachment (such as an images, documents, etc.) with an email, so paper is not getting wasting and it will be easier to correct on the computer from the original copy. For example a business document could be attached to an email such as a sale report. This is benefit to a sale manger because he can send all his salespeople a sales summary and they all get the same copy. Sending an attachment can be a cheaper and speed up the communication rather than sending it by the post meaning it saved the company money.
  • Putting a password on an email is so it will stay confidential.
  • Putting an electronic signature of the email so it look more formal so and someone it business will treat this email more formal. For example
  • An address book can save all important email addresses so you don’t have remember them.
  • Organising your into folders can be helpful because it will make easier to find a certain email.

Internet Fax

Internet fax uses the internet to receive and send faxes. Traditional faxing involves sending a scanned copy of a document (a facsimile) from one fax machine to another, over the phone network. Internet faxing is a general term which can refer to one of several methods of achieving this over the Internet - with a goal of both reduced costs and increased functionality over traditional faxing.
