This means a need for an alternative system to replace the current paper system, to allow for this to happen.
The Real User:
The system would be used by the Old Boys to get in touch, or keep in touch with friends from the school.
It would also be used by the current sixth-formers to contact the Old Boys to find out about universities etc. that they could go to.
The school could also use it to notify Old Boys of up and coming events that are happening at the school. Or to ask Old Boys if they would volunteer their time to help at the school.
Basically, the database will be a method of communication between the three parties: the school, sixth-formers and Old Boys.
Problems With Current System
The current system is not actually designed for the purpose it is used for. It is mainly for the school to keep track of which universities their pupils are attending after they leave the school. It is, however, being more and more implemented by others leaving he school to find out about prospects. It does not have detailed
Solutions
There are two main ways that this problem can be solved: with a manual, paper system, or an electronic I.T. system.
Manual System: Advantages
- There is less cost involved, because you don’t have to change anything.
- It can’t contract a virus and be wiped out.
- You don’t have to wait for it to boot up, as you can look instantly.
Manual System: Disadvantages
- If there is fire the system will be destroyed.
- It takes a long time to record new data.
- It takes a while to find records.
- If you want to make a modification, you may need to rewrite everything.
- Everyone has access, (breech of confidentiality).
I.T. System: Advantages
- It takes little room to store the information.
- It takes little time to store the information.
- It takes little time to find the information.
- It is easy to modify data.
- The system can be uploaded to other hard drives in case of fires etc.
I.T. System: Disadvantages
- Not every one will be able to have access
- There is more cost, as you have to buy the systems and software.
- If it contracts a virus, all of the information can be lost.
- You have to wait for the system to boot up.
- If there is a power cut, you can’t view the information.
Reasons for I.T. Solutions
I am going to use the I.T. solution because its advantages outweigh those of the manual system. It also saves a lot of time and eventually this will save on money. Also, you can feasibly make as many copies as you want.
Four Measurable Objectives:
- My database will produce a report showing those former pupils who are at college/university.
- My database will have a display menu on the screen to allow users to select sheets and options efficiently.
- My database will have a data entry form to allow correct data entry.
- My database will have a query to find universities/colleges that pupils now attend.
